Service Specialists recruiting agency is seeking a Secretary for a well-established law firm in Grenada.  This individual will be highly organized and detail-oriented and provide administrative support to our attorneys and ensure the smooth operation of the office. This role requires excellent communication skills, discretion, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
  • Administrative Support:
    • Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
    • Schedule and coordinate appointments, meetings, and court dates.
    • Maintain and organize files, documents, and records, ensuring confidentiality and compliance with legal standards.
    • Prepare and edit legal documents, correspondence, and reports.
    • Perform data entry and maintain databases.
  • Client Relations:
    • Greet clients and visitors, ensuring a welcoming and professional atmosphere.
    • Handle client inquiries and direct them to the appropriate attorney or department.
    • Manage client intake process and gather necessary documentation.
  • Office Management:
    • Monitor and order office supplies, ensuring adequate inventory levels.
    • Coordinate office maintenance and repairs.
    • Assist in the preparation of billing and invoicing.
    • Support the implementation and maintenance of office procedures and policies.
  • Team Collaboration:
    • Provide administrative support to attorneys and other staff as needed.
    • Assist with special projects and tasks as assigned.
    • Foster a positive and collaborative work environment.
  • High school diploma or equivalent; associate’s or bachelor’s degree preferred.
  • Minimum of 2 years of experience in an administrative role, preferably in a legal environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal practice management software.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Professional demeanor and appearance.
  • Ability to work independently and as part of a team.
  • Familiarity with legal terminology and procedures is a plus.
Full Time, In office. $18/hr + benefits.
